WEDDING CONTRACT & AGREEMENT
A formal contract will be emailed to you along with your invoice for 50% deposit.
Sarah Votta Designs will provide services to film the clients wedding to the best of their ability.
Terms and Conditions:
All work shall be completed in a professional manner and, if applicable, in compliance with all building codes and other applicable laws.
Deposit and Payment: Sarah Votta Designs shall reserve the time and date of the event upon receipt of the 50% deposit. No date is reserved until the deposit is received. An invoice to pay online with a credit card will be emailed within 7 days of completing this agreement. The remaining balance due for services must be paid in full on or before the event date. In the event that the client fails to remit payment as specified, Sarah Votta Designs shall have the right to immediately terminate this Agreement with no further obligation, retain any monies already paid, and not attend this event.
Cancellation: Deposit is nonrefundable. If for any reason the client cancels this contract before the wedding date, Sarah Votta Designs will keep the deposit. Creative aspects such as shooting and editing style are at the discretion of Sarah Votta Designs.
Audio: Sarah Votta Designs obeys all church or location rules set forth. Using microphones may be prohibited at certain churches or locations. If your church or location rules prohibit the microphones or other equipment and you get permission otherwise, we need this given to us in writing: Any alterations to church or location rules should be given to us in writing no later than 1 month prior to the event, and be signed by an authorized representative of your church or location. Our microphones are placed on the groom or, if possible, the officiant and are very sensitive. The sound from the microphones ONLY enters the camera and are not an amplification for your audience. We capture ambient sound of the ceremony with our additional audio capturing device.
Lighting: Sarah Votta Designs uses various video lighting at dimly lit receptions in order to obtain the best quality on the final film. If this light is offensive in any way, we will turn it off, however client shall be aware that the resulting footage without such light may be very dark and exhibit extreme noise grain. We ask that if you do decide to have us turn off our lights, that the reception’s house lights be turned up in order to obtain the best lighting possible. Sarah Votta Designs will not be held liable for any production problems beyond our control, Ex: bad weather, poor acoustics, lighting, interference from guests, etc.
Sarah Votta Designs requires that we be given ample time to set up before any main event. We need at least 3 minutes to get our audio recording going and our cameras ready before a big event such as toasts or cake cutting. We are not responsible for missed footage due to poor communication from your wedding coordinator at your event. Please make your coordinator aware of this policy.
For a high-quality recording of your wedding ceremony, at select times during the ceremony we will shoot from the center aisle - including the processional as well as the rest of the ceremony. By signing below, the client grants full permission for Sarah Votta Designs to film from the center aisle unless otherwise specified.
Meals: Client agrees to provide videographers a meal at the reception during the time the Bride & Groom are eating. The videographers must eat as near to the time the Bride & Groom eat to ensure that they can be finished before toasts or any other reception events begin. If there is a buffet, we require to be included in the guest count for the buffet. If it is a sit down dinner, we require to have a plate provided for each of us.
Filming hours: We may go slightly over or under the total filming hours. No refunds will be given if we go under the filming hours. When your time limit is drawing close, we will alert you in advance.
Guests in attendance: Any guest present the day of the event may appear in the final film. \We cannot accommodate requests to remove guests from the film.
Sarah Votta Designs shall not be liable for any delay due to circumstance beyond its control. Sarah Votta Designs is an independent contractor, and not an employee of the client. Any changes to this document must be signed by both the contractor and the client. The headings of the sections herein are for convenience only, and shall not affect the meaning of the provisions of this Agreement.
Sarah Votta Designs retains the right to use this footage for promotional and advertising purposes. This is not limited to displaying the finished edit on our blog, Instagram and Facebook page, and/or submitting the film for publication on wedding blogs. If you wish to NOT have your film submitted for publication, you must make us aware of this and have it written into your contract. By signing this contract, you authorize us to submit your films for publication. Clients may post or share online video clips as long as proper credit and a link are given to Sarah Votta Designs (this includes posting on personal websites, social media, or other share sites).
Liability: If Sarah Votta Designs shall fail to perform due to fire or other casualty, strike, act of God, or other cause beyond the control of either party, Sarah Votta Designs will return payments made from the client but shall have no further liability with respect to the Agreement. This limitation on liability shall also apply in the event that video materials or equipment should prove to malfunction or be damaged without fault on the part of Sarah Votta Designs. In the event that Sarah Votta Designs fails to perform for any reason deemed the fault of the videographer, then Sarah Votta Designs shall not be liable for any amount in excess of the full contractual amount paid.
